We first map how the work happens today. The trigger, required information, decision rules, and expected result need to be clear before an automated workflow can be reliable. Steps that require judgment can remain with your team.

What the scope can include

Plan for duplicates, failures, and change

External services can be unavailable, and events can arrive more than once. We define retry behavior, duplicate handling, useful logs, and a manual fallback. A failed workflow should be visible to its owner rather than silently losing a record.

Credentials are kept outside public code and shared with the access needed for the integration. We also agree which system is the source of truth, what data is transferred, and how long operational records are needed.

AI can be considered where interpretation or drafting is useful, with explicit review and evaluation requirements. Deterministic tasks often work well with ordinary rules. We choose the approach according to the process and its risks.

Start with one measurable workflow

Bring an example of the repetitive task, how often it occurs, the tools involved, and the person responsible for checking it. We agree on a first version and review whether it reduces duplicate entry, missed handoffs, or time spent on the task. We do not promise a percentage saving without measuring the actual process.

Scope and cost depend on the number of systems, authentication methods, workflow branches, error handling, and reporting needs. Ongoing provider fees and maintenance responsibilities are discussed before release.
